Updating personal contact information
To change your personal contact information in ZEuS, please switch to the role Mitarbeiter*in. (This is the role for university's staff.)
Navigate to the menu User Functions >> Service >> Personal settings >> Edit my contact data.
There you will find all the contact information, that was saved for your account. The contact information is divided in different purposes. You can change the contact information for Business Contact Details and Standard Contacts.
You may change following information (in the fields Business Contact Details and Standard Contacts):
- Postal address & postbox
- Email address
- Phone number
- Hyperlink
These data can only be changed by the appropriate staff:
- Contact information listed under any other purposes than Business Contact Details or Standard Contacts
- Function and unit affiliation
- Supplement information to function
- Room
- Contact information specific to a function
- Assigned roles
Purpose: Business Contact Details
All the business contact information can be collected here. The data saved under this purpose is not openly visible, unless it has been assigned to a specific function or to the purpose Standard Contacts.
Purpose: Standard Contacts
Contact information collected under this purpose is openly available in a function assigned to you (or else be made available only for internal use at the university, depending on the chosen settings), given that no varying information has been added to the function. Only one email address, one phone number and one hyperlink can be assigned to this purpose.
Purpose: Human Resource Management
Under this purpose, you will find your private contact information. To change this information, please contact the appropriate clerk in the HR. This information is only visible to you, HR and system administrators; it should be kept up-to-date at all times.
Entry/change of a postbox
To enter or change an existing postbox entry, please start the editing of Postal address under the purpose Business Contact Details. To edit an already existing postal address, click on the pencil-icon. If there is no address yet, you can add it here via the button "Add postal address".
In the now activated overlay, make sure that the address type ist set to "business". Only if this is the case, the field for postbox is visible. There is only one field for postboxes. If you have several postboxes, all of them must be entered in one field. In such a case, we recommend, that you add the intended use of each postbox.
Example: PO Box 123 Campusmanagement / PO Box 456 IT-Services
Information about postboxes, which was added to the postal address will be visible in the Phone-Directory. This is also the case when the information was only saved under the purpose of Business Contact Details. It is neither necessary nor possible to add a postal address to the purpose Standard Contacts or to a function.
Assigning and/or changing functions
Functions in ZEuS fulfil two tasks: they serve locating contact information in the Phone-Directory and to create affiliation relationsships within university structure.
If a staff member has no function, the contact information of this person will not be available neither in the Phone-Directory nor in the university structure overview. Functions can only be created and editted by clerks in the back offices of the departments or administrative divisions.
Therefore, if you wish to add a function or to make a change in (one of) your existing function(s) in ZEuS, please contact the appropriate clerks.
